Acceptable Use Policy

This policy sets out the rules for using AdohPharma and forms part of your agreement with us.

Last updated: 14 September 2026.

1. Purpose and scope

This Acceptable Use Policy (the “Policy”) describes acceptable and prohibited conduct when accessing or using the AdohPharma platform, including its inventory management, point-of-sale, reporting, and offline-sync features (collectively, the “Platform”). It applies to every account holder, authorised staff member, and any other person who accesses the Platform on behalf of a pharmacy.

2. Permitted use

The Platform is intended to help a licensed pharmacy manage its own legitimate business operations. You may use the Platform to record and track inventory, process sales, reconcile stock, generate reports, and administer authorised staff accounts within your pharmacy.

  • Managing stock levels, batches, and expiry data for products you are licensed to hold.
  • Recording sales and returns through the point-of-sale workflow.
  • Inviting and managing staff accounts under your pharmacy’s role-based access controls.

Each pharmacy business registers one organisation account. Additional branches are added within that account rather than by registering separately. If you operate genuinely distinct pharmacy businesses and need more than one organisation account, contact support@adohpharma.com — this is permitted, but we ask that you tell us so it is not mistaken for the conduct described in section 3.

3. Prohibited conduct

You must not use the Platform in any way that is unlawful, harmful, or that undermines the integrity or security of the service. Prohibited conduct includes, without limitation:

  • Uploading unlawful, counterfeit, falsified, or misleading product data.
  • Attempting to circumvent security measures or role-based access controls, or accessing data you are not authorised to view.
  • Reverse engineering, decompiling, or otherwise attempting to derive the source code of the Platform.
  • Deliberately abusing the offline-sync queue to duplicate, corrupt, or falsify records during synchronisation.
  • Sharing login credentials with, or granting access to, anyone outside your authorised pharmacy staff.
  • Registering more than one account for the same pharmacy business, or using different email addresses, phone numbers, payment details, or registration information, in order to obtain, extend, or repeat a free trial, promotional period, or introductory price.
  • Providing false, inaccurate, or another party’s registration details — including pharmacy licence or registration numbers — when creating or maintaining an account.
  • Circumventing, or attempting to circumvent, any limit applicable to your plan, including branch, user, or usage limits, or any restriction we have applied to your account.
  • Using the Platform to record, dispense, or process controlled substances outside the pharmacy, medicines, and pharmacovigilance regulation applicable in the jurisdiction in which you operate.

4. Account security responsibilities

You are responsible for safeguarding the credentials used to access the Platform and for all activity that occurs under your accounts. Keep passwords confidential, use the access controls provided, and promptly report any suspected compromise or unauthorised access to abuse@adohpharma.com.

5. Data accuracy responsibilities

Your pharmacy is solely responsible for the accuracy, completeness, and lawfulness of the stock, sales, and any patient-related data it enters into the Platform. We do not verify the data you submit, and you must ensure records reflect your actual inventory and comply with applicable record-keeping obligations.

6. Consequences of violation

We may investigate suspected violations of this Policy and take any action we consider appropriate, including issuing warnings, restricting features, and suspending or terminating access to the Platform. Serious or repeated violations may result in immediate termination. These measures are in addition to the rights and remedies set out in our Terms of Service.

To investigate suspected violations of section 3, we may review account and registration information — including licence or registration numbers, contact details, billing information, and technical signals such as network address and device information recorded when an account is created. Where these signals indicate the same pharmacy has registered more than once to obtain or extend a promotional period, we will ordinarily contact you first and give you an opportunity to explain before restricting or suspending access, except where we consider immediate action necessary.

Where we restrict or suspend an account, you will continue to be able to export your own data. We will tell you what we observed and how to respond. These measures are in addition to the rights and remedies set out in our Terms & Conditions.

7. Reporting abuse

If you become aware of any use of the Platform that violates this Policy, please report it to abuse@adohpharma.com with enough detail for us to investigate. We aim to review credible reports promptly, though we do not guarantee any specific response time.

8. Changes to this policy

We may update this Policy from time to time to reflect changes in the Platform, our practices, or applicable law. When we make material changes, we will update the date above and, where appropriate, provide additional notice. Your continued use of the Platform after an update constitutes acceptance of the revised Policy.
